Swim Meet Volunteer Jobs

There are a required number of positions that MUST be filled at every home and away meet, or the meet cannot run.  The opposing team also sends volunteers.  Before and after each Home meet, there are also set-up and tear down responsibilities that are handled by parents.

**Asterisks mark positions that are suitable for a brand new swim team parent with no experience.

Also note the Locations listed under each position.  For positions that are not on-deck beside the pool, volunteers are still able to come to the pool to see their kids' swim events when it's time.

**Clerk of Course - Help guide kids from swimmer’s tent to the correct lane for their races. There are several checkpoints along the way where CofC helps reorganize the swimmers into the correct event, heat, lane. No prior experience needed.

  • LOCATION: On-deck at our Home meets. Variable at Away meets depending on where swimmer tent is located.
  • No SAIL training required.  Just on-the-job training.  

**Computer Assistant - Work alongside the Team Computer Operator (TCO) to ensure times are entered correctly into the computer.  Also enter DQs.

  • No SAIL training required. Just on-the-job training. 

Concessions Coordinator - Oversee Concessions, including planning and keeping up with inventory, ordering and picking up supplies from Sam's, and making all necessary decisions to ensure Concessions runs smoothly.  

  • LOCATION: Under our Pavilion.

**Concessions Griller (Home Meets) - Grill hamburgers, hot dogs, and chicken for concessions.  Home meets only.  

  • LOCATION: Under our Pavilion

**Concessions Setup AM (Home Meets) - On the morning of the HOME meet, assist the Concessions Coordinator with various tasks including filling coolers with ice, icing down drinks for the meet, and setting up tables. 9AM-10AM is approximate time. Will take about an hour.

**Concessions Worker (Home Meets) - Sell food/candy and collect money in the concessions area during HOME swim meets. If you are working the 2nd half of the meet, you should also help with packing up the concessions area at the end.

Head/Chief Timer - Ensure that each lane is performing their timing responsibilities. Informs the Starter when the timers are ready to proceed with the next race. Monitors each lane and provides assistance when needed in the form of extra watches, or replacing volunteers

  • LOCATION: On-deck
  • No SAIL training required. Just a list of guidelines to review and on-the-job training. 

**Home Meet Pizza Party - Pizza/swimming parties are usually held immediately after the home meets are done (weather permitting). Pizza will be ordered ahead of time from Domino's. Volunteers must pick up pizza as the meet is ending (can just walk over to Domino's). Assist with serving pizza and drinks in the Pavilion and also clean-up. Pizza is paid for by the Swim Team.

**Lane Timer - Use stopwatch and/or electronic button to record swimmers’ times during at the end of each race.

  • LOCATION: On-deck
  • No SAIL training required. Just a list of guidelines to review and on-the-job training. 

**Meet Setup (Home Meets) - Perform various deck preparations, such as moving tables/chairs, roping off deck areas, setting up Starter area, etc. Also preparing the parking lot with parking signs for meet officials and placing no-parking signs along adjacent neighborhood streets. Could take anywhere from 1-2 hours.  Usually 1:30-3:30pm.

**Photographer - Take action and still photos (with an appropriate camera) during the meet, edit photos as needed, and upload photos to our team Google Photos drive.  

  • LOCATION: On-deck

Referee/Asst Referee - See that meet is properly conducted by enforcing the rules and assuring the swimmers of fair competitive, standardized conditions. You have to know and understand SAIL technical rules. You are the judge, jury and arbitrator of all problems and protests that arise during a swim meet. A thorough knowledge of the rules and a completely impartial attitude will ensure that your decisions are right.

  • REQUIRED SAIL training – online certification and also shadowing

**Ribbons - Place stickers on ribbons and file by swimmer name. No prior experience needed! There is no set time. You can work on ribbons at different times throughout the meet. Pretty flexible job.

  • LOCATION: Not on-deck. At Home meets - under our Pavilion. Variable at Away meets, but typically in the clubhouse.
  • No SAIL training required. Just on-the-job training. 

Starter/Deck Ref/Recall Starter - Responsible for ensuring a FAIR start to every race. The starter handles the flow of the meet by clearing the pool after each race, and starting each subsequent race. They are responsible for determining False starts.

  • LOCATION: On-deck
  • REQUIRED SAIL training – online certification and also shadowing

Stroke and Turn Judge - Ensure that swimmers are performing the strokes legally during each race. Monitor each race and then notify referee of any disqualifications. Must have knowledge of each stroke and be able to learn what would be considered a disqualification during each stroke.

  • LOCATION: On-deck
  • REQUIRED SAIL training – online certification and also shadowing

**Tent Parents - Monitor swimmers in the tent area.  Also assist in lining up swimmers for races.    

  • LOCATION: On-deck at our Home meets. Variable at Away meets.
